We are seeking a highly organized and detail-oriented Operations Assistant to support our Alliances and Collaboration Cloud team, focusing primarily on systems management, marketing fund administration, and partner program compliance. This role is crucial for maintaining the efficiency and accuracy of our partner relationships and funding initiatives.
The Operations Assistant will be responsible for providing administrative and operational support across several key areas, including:
Marketing Alliances:
● Campaign Code Management: Assist with the administrative work of updating
campaign codes. This involves tracking deals, identifying those without codes
from reports, creating new sheets, and submitting support tickets for campaign
code rearrangement and updates.
● Opportunity Tracking: Update deals in the pipeline by moving opportunities from
"stage 0" to the correct subsequent stage on a weekly basis.
● Pipeline Reporting: Assist the Alliances Manager by pulling specific pipeline
reports, particularly in Hubspot, for use in internal and partner meetings.
● Field Marketing Event Support: Provide administrative assistance with event
logistics, including researching potential locations and vendors, and gathering
quotes for Google or client-facing field events.

● Funding Management: Help Alliance Manager with invoice organization,
coordinating receipts for claims, and working with vendors for receipts
Google Partner Programs
● Partner Status Monitoring: Aid in the administrative side of monitoring
Client’s Premier Partner Status, which involves checking and maintaining the
requirements and will coordinate cross functionally to help keep us on track
● Certification Updates: Assist with the administrative task of using the
certification report to track and update employee certifications that are nearing
expiration.
● Specialization Support: Help track down necessary administrative components
for Google specializations, such as DRP scores, required employee certifications,
and technical enrollments.
Collaboration Cloud Operations:
● Monthly Forecast Validation: Compare the Monthly ARR Report with HubSpot
deals to find discrepancies and confirm forecast accuracy.
● Weekly Action Item Reporting: Conduct a weekly review of specific fields on all
active deals; compile and distribute a summary report to the team highlighting
outstanding action items, stalled deals, or missing data to drive accountability.
● Ad-Hoc Reporting: Maintain various reports and dashboards in HubSpot to track
KPIs and team performance.
● Process Documentation: Assist in documenting and refining operational
processes, data entry standards, and reporting workflows to improve team
efficiency.
● Renewal Deal Resolution: Manage the Asana task queue generated by renewal
deal alerts and take direct corrective action within the CRM to ensure deal
accuracy. Update and close the corresponding Asana task upon successful
resolution.
● Ownership & Alert Management: Manage automated HubSpot alerts, including
the daily review and correction of account, company, and deal owner
assignments to ensure proper attribution.
● Cross-Functional Support: Serve as an operational point of contact for the
Customer Success, Sales, and Alliances teams, providing ad-hoc data support
and troubleshooting basic CRM-related issues.
● Technical Proficiency: Demonstrated proficiency and knowledge of Google Workspace
applications (e.g., Sheets, Docs, Slides, Gmail, Calendar).
● Organizational Skills: Excellent organization, time management, and administrative
skills to handle tasks like tracking deals, submitting support tickets, and maintaining
checklists.
● Communication: Strong written and verbal communication skills for liaising with internal
teams and submitting detailed information for funding claims and partner program
updates.
