Our client is looking for a highly capable and self-directed billing professional who can quickly understand complex processes, work confidently with minimal supervision, and become the person the
team relies on when billing situations get complicated. You’ll support two very different customer environments: high-volume Retail accounts and more customized Enterprise accounts. Success in this role requires a combination of financial accuracy, business judgment, technical aptitude, communication skills, and leadership.
Your Opportunity to Make an Impact
Take Ownership of Billing Operations
Manage recurring and subscription billing activities for both Retail and Enterprise customers through Chargebee.
Review customer agreements and translate contractual requirements into accurate billing setups.
Validate pricing, quantities, billing schedules, and account configurations before invoices are issued.
Prepare monthly invoices and supporting documentation.
Manage billing changes throughout the customer lifecycle, including upgrades, downgrades, renewals, cancellations, and quantity adjustments.
Reconcile payments and investigate differences between invoices, payments, and account records.
Follow up on outstanding balances and provide information needed by the Collections team.
Keep billing information accurate and consistent across Chargebee, HubSpot, Excel, and internal systems.
Submit invoices through customer or vendor payment portals when required for Enterprise accounts.
Apply customer-specific billing procedures and special handling requirements consistently.
Become the Team’s Billing Expert
Serve as the primary escalation resource for unusual or complex billing situations.
Investigate invoice, payment, credit, refund, and account discrepancies from initial issue through resolution.
Determine root causes rather than simply correcting individual errors.
Interpret contracts and help the team understand how specific terms should be reflected in billing.
Partner with Sales, Customer Success, Enterprise Support, Collections, and RevOps to resolve issues
efficiently.
Communicate billing decisions and resolutions clearly to both internal stakeholders and customers.
Help the Team Perform at Its Best
Provide day-to-day direction to Billing Specialists based on priorities, deadlines, and workload.
Coach and mentor team members on billing procedures, systems, and complex account scenarios.
Review work and provide guidance to promote accuracy and consistency.
Help establish practical operating standards for the billing function.
Monitor internal communication channels and HubSpot tickets to help ensure issues are addressed promptly.
Become a dependable resource when team members need assistance making billing-related decisions.
Keep Reporting Accurate
Prepare and review billing reports, aging summaries, and reconciliation information.
Validate data used for internal reporting and identify inconsistencies before they affect downstream processes.
Support month-end activities related to revenue and cost of revenue.
Maintain reliable documentation and records to support billing and reconciliation activities.
Improve How Billing Gets Done
Identify repetitive, inefficient, or error-prone billing activities and recommend better approaches.
Help implement workflow improvements, automation opportunities, and efficiency initiatives.
Create and maintain clear SOPs, process guides, reporting templates, and other documentation.
Support cross-functional projects that impact billing, revenue operations, or the customer experience.
Help build scalable processes as the billing function continues to grow.
What You’ll Bring to the Role
We’re looking for someone who combines hands-on billing expertise with ownership and leadership potential.
Required Experience & Skills
3–6+ years of experience in Billing, Accounts Receivable, or a related finance function.
Experience in SaaS, subscription, or recurring-revenue billing is strongly preferred.
Familiarity with Chargebee, HubSpot, or similar billing/CRM platforms.
Strong Excel skills, including VLOOKUP, PivotTables, and data validation.
Ability to understand customer contracts and accurately apply billing terms.
Strong analytical skills with the ability to investigate discrepancies and identify root causes.
Exceptional attention to detail and commitment to data integrity.
Strong written and verbal communication skills.
Ability to manage multiple priorities without sacrificing accuracy.
Previous experience mentoring, coaching, or leading team members. Formal people-management experience is helpful, but not mandatory.
Additional Experience That Will Set You Apart
Enterprise billing and invoice submission through customer/vendor portals.
Experience managing high-volume Retail billing environments.
Experience working with customer-specific billing rules and processes.
Exposure to automation, workflow redesign, or operational improvement initiatives.
